How it usually got this way

Electrical, plumbing, HVAC, roofing, general contracting: different trades, same shape. The office grew around the work. Someone needed a shared folder, so one appeared. A new estimator needed access quickly. A laptop got replaced and the old one still has everything on it. Each decision made sense on the day it was made.

Two years on, the questions that are hard to answer are who can reach what, which license belongs to whom, and whether the hand who left in March still has the plans on his phone. That is the part we sort out.

Half your people are not at a desk

Plans have to reach the crew, and photos, hours and change orders have to come back. Whatever is set up has to work on a phone in a trailer as well as on a desk in the office.

Crew size moves with the workload, so licenses, device access and job folders need a routine for adding people and removing them. A lost phone on a site should be a call, not an incident.
